Project management tools are sticky: every board, ticket and timeline encodes months of how your team works, which is exactly why switching feels expensive. It is still worth asking where that data sits and who can access it, especially for agencies and consultancies that hold client project data.
This post is part of a series on moving off American software. It covers the European project management tools listed on European Alternatives, grouped by what kind of work they fit. Some are hosted services; several are open source and self-hostable.
Full project management platforms
OpenProject comes from Germany, is open source, and can be self-hosted or run in the cloud. Work is built around tasks that you can view as a Kanban board, a timeline or a calendar. Tasks can be assigned to people and created by everyone, and OpenProject can be integrated into other services — including integrations you build yourself via its API. If you want Jira-style structure with the option of owning the infrastructure, this is the obvious starting point.
Taiga is an open source project management tool from Spain, with multiple dashboards, Kanban boards, an issue tracker and project timelines. Members can be assigned roles, permissions and work-in-progress limits. Taiga offers hosted solutions but can also be self-hosted, and it has an API for building your own integrations.
Kanban-first tools
If your current tool is essentially a pile of boards, these map most directly.
MeisterTask, from Germany, manages projects from idea to completion on a kanban project board, with task scheduling including calendar integration, time tracking and a personal agenda. For insight into how projects are doing, you can check a status dashboard or generate a report. Tedious tasks can be automated, and there is an API.
Nextcloud Deck is a simple open source Kanban application within the Nextcloud suite. Tasks can be organized together with other users, who can comment, label tasks and attach files. It is the right size if your needs are modest — and it comes along for free if your team already runs Nextcloud.
Vikunja is an open source, self-hostable task and project management application that organizes work into hierarchical projects and subprojects. Viewing modes include lists, Kanban boards, Gantt charts and table views. It supports team collaboration through project sharing, task assignment and user management, plus due dates, labels, recurring tasks and email reminders.
Planning, time and workload
Zenkit Projects, from Germany, aims at ease of use without shortchanging advanced users, offering different interfaces for different users. You can create goals and the tasks to reach them, build timelines and deadlines, integrate those timelines into your calendar service, and extend things with Zapier integrations. A live report of all projects is always available, and you can see each user's workload to balance it.
awork, also from Germany, lets you create tasks and view them as a Kanban board, a timeline or a simple list, with deadlines and time tracking on what you worked on and for how long. It adds a personal schedule, project overviews, long-term plans, calendar sync and API integrations.
Bigger teams and special cases
YouTrack is a project management and collaboration tool packed with features: task tracking, project management, whiteboards, a knowledge base, customer support tooling and product delivery features.
Projektron BCS is a German project management and ERP solution for service companies across industries, covering multi-project management, resource and task planning, time tracking, a ticket system, invoicing and CRM. It supports methods like Scrum, PRINCE2 and IPMA/GPM, is highly customizable, and is certified to ISO/IEC 27001:2022.
freispace is a Gantt-style project planning tool with resource scheduling, to-do task management, time tracking, quoting and invoicing ready for EU e-invoices, and carbon emissions tracking.
What to weigh
- Match the shape of your work first: boards (MeisterTask, Deck), issues and sprints (Taiga, YouTrack), or multi-project planning (OpenProject, Projektron BCS).
- Self-hosting trades operating effort for control — decide before you migrate, not after.
- Move one project as a pilot before migrating everything.
None of these will be a pixel-for-pixel clone of what you use now. Treat the switch as a chance to simplify, and accept that some habits will change.
